The problem
Practice admin is stuck in spreadsheets and £400/mo tools.
Most firms run on a patchwork of Engager or Senta, spreadsheets, and email. The commercial tools are expensive, clunky, and built for everyone, so they fit no-one exactly. New-client onboarding is a nine-step chore. Letters live in Word. Nothing is auditable.
The firm didn’t need more features. It needed fewer clicks, no jargon, smart defaults, and a system its non-technical staff would actually open every morning.
So we built exactly that, and handed over the source code. No per-seat licence, no lock-in, no vendor holding the data hostage.

Companies House auto-fill
Type a company number and the system pulls the name, registered address, officers, and year-end from the free public API. No re-keying.
Jobs pipeline
A drag-and-drop board moves every job through six stages, To start to Ready to file, with the owner, deadline and fee value on each card.
MTD command centre
Tracks who is mandated for MTD for Income Tax, the quarterly cadence, and what is still outstanding, then chases the records automatically.
Client portal + chasing
Clients get a passwordless portal to upload requested documents. Outstanding requests chase themselves at three, seven and fourteen days.

From April 2026, MTD for Income Tax turned one annual return into a quarterly cycle for roughly 864,000 taxpayers. Quill has a built-in MTD command centre: it flags who is mandated, tracks the quarterly cadence, shows what is still outstanding, and chases the records automatically. Four times the filing events, handled without four times the admin.

Accountancy client data is regulated under UK GDPR, AML 2017, and the ICAEW Code of Ethics. Security wasn’t a phase, it was the foundation.
Role-based access
Three roles, admin, staff and junior, with a 20-plus permission matrix enforced on every server action.
Hardened auth
bcrypt hashing, HMAC-signed revocable sessions, and TOTP two-factor enforced on every staff login, with rate-limiting and lockout.
Encrypted at rest
Sensitive fields like UTR and VAT, and every uploaded document, are encrypted at rest with AES-256-GCM.
Retained audit
Soft-deletes and an append-only audit trail of who did what, when and from where, retained to the firm's AML policy.
